WHAT DOES A ADMINISTRATIVE SPECIALIST DO?

As an Administrative Specialist at Cramer Fish Sciences, you will play a vital role in supporting our team across multiple locations. Your day-to-day responsibilities will include managing time sheets and expenses, coordinating facility maintenance, assisting with HR functions, and providing IT support. You will have the opportunity to contribute to project management, organize trainings and meetings, and maintain crucial records and equipment. ARE YOU THE ADMINISTRATIVE SPECIALIST WE'RE LOOKING FOR?

Success as an Administrative Specialist at Cramer Fish Sciences requires a 2-year degree (BS/BA preferred) and administrative background. You'll need to be highly organized, detail-oriented, and adept at managing multiple priorities to support our executives and staff in various locations. Excellent verbal and written communication skills are essential for coordinating facilities, managing supplies, and supporting HR efforts. We're seeking an adaptable, proactive professional who can efficiently handle diverse admin tasks - from maintaining facilities and equipment to managing mail and packages - ensuring efficient operations across all assigned sites.

Knowledge and skills required for the position are:

  • Executive Assistance: The specialist will manage executive schedules and appointments, prepare expense reports and process reimbursements, and coordinate travel arrangements. They will assist with presentation preparations and handle confidential information with discretion.

  • Office Management: This role involves overseeing facility maintenance and repairs, managing office supply inventory and ordering, and coordinating with vendors and service providers. The specialist will ensure compliance with safety regulations and optimize office layout and organization.

  • Administrative Support: The Administrative Specialist will schedule and coordinate meetings, manage document filing and retrieval systems, and prepare and distribute meeting agendas and minutes. They will handle incoming and outgoing mail and maintain office equipment and troubleshoot issues.

  • IT and Systems Support: This position requires providing basic IT support to staff, assisting with software installations and updates, and managing user accounts. The specialist will also support the IT department in training staff in new software and systems.

  • HR and Employee Relations: The ideal candidate will assist with recruitment and hiring processes, support new employee onboarding, and coordinate training and development programs. They will help organize company events and team building activities, and assist the HR Department in maintaining employee records and HR documentation.
