American Conservation Experience (ACE) is a dynamic non-profit organization dedicated to providing rewarding service opportunities to over 1,500 members (youth and young adults) each year, and does so with a skilled staff of approximately 150 employees across the U.S. ACE has a national reputation for providing professional development opportunities on a variety of conservation projects for the U.S. Forest Service, Bureau of Land Management, National Park Service, U.S. Fish and Wildlife Service, and numerous state and local land management partners, either with crew based work or with individually placed interns.
Job Title: Compliance Manager
Location: ACE Office Location/Remote
Department/Division: ORGS: OPS: Finance
Status: Regular Full-Time, Salaried (Exempt)
Schedule/Hours: Full-time, 40 hours/week (Monday - Friday, flexible hours but expected to be on duty during ACE Core Business Hours of 12:00 pm - 5:00 pm Eastern time to accommodate business needs in all US time zones) with some adjustment expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required.

Travel: Some domestic travel required, up to 10%
Position Summary:
The Compliance Manager (CM) is an essential member of ACE’s finance and compliance team and is responsible for corporate compliance, risk, insurance, and claims management. The CM assists with maintaining ACE’s nonprofit status and compliance with federal, state and local regulations. The CM assists Leadership with developing and implementing standards, processes, programs, and best practices related to risk management. The CM assists with managing ACE’s insurance portfolio and is in charge of the annual insurance renewal process. The CM is responsible for insurance claims, and works closely with ACE staff and insurer claim staff.
Essential Functions and Responsibilities:
Compliance
- Responsible for and manages ACE’s compliance with federal, state, and local regulations, including but not limited to business licenses, business registrations, charitable registrations, corporate compliance reporting, organizational annual reporting, and tax-exemption certificates.
- Review ACE’s current organizational compliance policies and procedures to identify areas of improvement; assist with drafting new and update existing internal risk and compliance policies.
- Support ACE initiatives (new and continuing), by helping with business licenses & registration, insurance, risk management, among others.
- Stay up-to-date with relevant laws, regulations, and industry standards.
Risk
- Assist Leadership as needed with developing long-term strategic plans for risk management, quality control & improvement, and organizational compliance; contribute to the development of measures to strengthen the internal control environment.
- Assist Leadership as needed with implementing risk management solutions including but not limited to insurance, safety and security policies, finance, quality control, business continuity plans, or recovery measures.
- Participate with the ACE Risk Committee and help as needed with critical incidents, or other matters.
Insurance
- Evaluates and provides recommendations regarding selection of policies, including but not limited to: Property, Casualty, Auto, General Liability, Workers’ Compensation, Directors and Officers, and Cyber-risk policies; helping with proper terms and limits of coverage.
- Manages the annual insurance renewal process; coordinates and submits, as necessary, the gathering of insurance policy renewal data.
- Manages relationships with third party service providers including brokers, underwriters, and other third-party administrators.
- Works with ACE’s insurance brokers to respond to requests for certificates of insurance and claims history documents.
- Assist department/division staff with insurance questions.
Claim Management
- Responsible for insurance claims; including but not limited to property and liability claims, and work closely with ACE staff and insurer claim staff.
- Serve as liaison with insurers for the purpose of addressing policy exposure or activity impacting the ACE Insurance Program, including but not limited to, property and auto damage, and general liability.
- Partners with all divisions/departments regarding incident reports and claims or losses.
- Provides timely notification of claims to insurance carriers; develops and communicates plans to address loss events.
- Assist with Workers Compensation claim administration, as a resource for HR and program staff; and is responsible for the annual Workers Compensation audit.
Other
- Perform other duties and related functions as needed or assigned by the SDFC.

Required Experience and Qualifications:
- Bachelor’s Degree or equivalent in accounting, business administration, finance, law, risk management, or related discipline OR any combination of education, training, and experience which demonstrates the ability to perform the duties of the position at the discretion of the SDFC. A law degree is highly desirable.
- Three years of experience with, and understanding of, organizational compliance, insurance, risk management, and claims management.
- Proficiency in industry trends, laws, and regulations.
- 2 years in a managerial or supervisory role.
- Experience working remotely and managing remote staff is preferred.
- Superior organization, project management skills, strong analytical skills, and attention to detail.
- High level of commitment to quality work product and organizational ethics, integrity, and compliance.
- Ability to work effectively and cooperatively in a fast-paced, team environment.
- Strong interpersonal skills and the ability to effectively communicate, both written and verbally.
- Demonstrated decision making and problem-solving skills.
- Detail-oriented with the ability to multi-task and meet deadlines with minimal supervision.
- Proven ability to professionally manage confidential material.

- Strong computer systems skills, including proficiency in business and accounting computer systems, and advanced Excel skills with the ability to analyze large amounts of data; Experience with Google, NetSuite, Expensify, and Paycor software is preferred.
- Demonstrate sensitivity, understanding and an ability to effectively engage with individuals (internal and external) from diverse cultural, socioeconomic, ability and ethnic backgrounds.

Physical Demands, Work Environment and Working Conditions
- Physical Demands: Requires frequent sitting, standing, walking, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch.
- Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
- Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 pounds.
- Environmental: Mainly indoor, office environment conditions; indoor air quality is good and temperature is controlled.
- Noise Environment: Moderate noise such as in a business office with equipment and light traffic.
- Travel: This position may require domestic travel.
Compensation: Starting annualized salary of $60,000 (based on 40 hours/week, 52 weeks/year), and may increase depending on experience.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
