Work Type: Hybrid: The expectations for this position range from full-time in-office work to a blend of remote and in-office work, depending on the needs of the Park Trust.

We work closely with the National Park Service to acquire privately owned lands to expand our national parks. In addition, we get tens of thousands of kids and families to parks each year. Position Overview

We seek a dynamic and energetic Development Coordinator to support the Park Trust's rapidly growing fundraising efforts that fuel our programs. This staff member will support the Development Office in a broad range of fundraising initiatives. The Development Coordinator will also support the Executive Director’s fundraising activities. This position is ideal for someone looking to gain experience in many areas of development – including digital and direct mail, donor and fundraising events, and ongoing campaigns. This staff member will also work closely with our youth & family, land acquisition, finance, and communications team members on various aspects of their work. 

The Development Coordinator will also be able to see firsthand the impact of their fundraising efforts on our programs and stakeholders. This full-time, permanent staff member will report directly to the Director of Development. 

Position Description

Senior Staff Support

  • Schedule donor and board meetings and calls for the Development Director, Executive Director, and fundraising volunteers.
  • Compile information packets and other materials for donor meetings
  • Coordinate information captured from meetings and call debriefings
  • Compile follow-up information from meetings

Donor Administration

  • Track internal and external sources of gifts (e.g. workplace giving programs, Donor Advised Funds, Quickbook Payments, etc.)
  • Create and update donor records in our Neon Constituent Relationship Management (CRM) platform and MailChimp Email Platform through multiple sources and methods (e.g., keying, file transfer, etc.).
  • Work with Finance to compile and submit information for workplace giving programs and other external donor sources.

Donor Cultivation

  • Generate gift acknowledgment letters and donation receipts
  • Compile and send out materials to donors, prospects, and volunteers
  • Coordinate automated cultivation emails using Neon and MailChimp

Donor and Fundraising Events

  • Coordinate invitation design and mailings
  • Generate guest lists and manage RSVPs
  • Coordinate event planning logistics
  • Assist in event mailings and signage creation
  • Assist in follow-up communications with guests and supporters after each event

Direct Mail, Email, and Campaign Fundraising

  • Generate donor lists for in-house and out-of-house mailings
  • Interface with external vendors for out-of-house mailings
  • Coordinate production of internal mailings and marketing materials
  • Coordinate content, production, and mailing of the Annual Report
  • Coordinate email fundraising campaigns
  • Assist in content updates for the fundraising section of the website and messaging for social media fundraising.
  • Produce reports on campaign performance.

Individual Giving

  • Serve as primary contact with monthly donors.
  • Support Development Manager in conducting donor research and maintaining accurate donor profiles
  • Maintain corporate and foundation grant proposal schedules
  • Gather content and information for grant update reports and proposals
  • Proofread grant proposals and other fundraising materials

Skills and Qualifications

  • Excellent organization skills with the ability to manage multiple projects at the same time
  • Proficient in Google Workspace and GSuite products 
  • Self-starter, with attention to detail who is comfortable in a fast-paced, innovative environment
  • Ability to work in a team or independently as needed
  • Comfortable interacting with board members and donors via email and phone calls
  • 1-2 years of nonprofit experience in operations or administration is a plus
  • Strong communication skills (written, phone, and in-person) are a must. Written documents will include email communications, meeting requests
  • Degree from an accredited college or university. (Consideration is given for an associate’s degree or high school with 3-4 years of direct experience.)
  • Experience in CRM or databases preferred
  • Experience in Canva and MailChimp a plus
  • Proficient in Microsoft Excel, Word, and PowerPoint, a plus
  • Willing to be flexible with work hours depending on the organization's needs, with travel to assist at events if needed
  • Passion for the Park Trust’s mission and programs

Physical Requirements

  • Some physical exertion is associated with park activities.
  • Lifting items up to 45 lbs.
  • Local and overnight travel may be required on occasion.
