POSITION SUMMARY
The Donor Relations Coordinator is a highly motivated, detail-oriented member of the Advancement Team. The Donor Relations Coordinator assists fundraising efforts by providing insightful donor data management to ensure optimal donor engagement and retention and inform the strategic direction of Advancement initiatives. Reporting to the Chief Advancement Officer, the Donor Relations Coordinator develops a strong knowledge of the Land Trust’s donor base and uses the information to play a key role in coordinating day-to-day efforts to maintain momentum toward annual, major gift, and campaign fundraising goals.
PRIMARY RESPONSIBILITIES
Moves Management Coordination
- Support the implementation of annual giving, major gift, and campaign strategies by developing a deep understanding of existing donors, prospects, and fundraising initiatives.
- Create and maintain donor moves management actions, tracking systems, and reports.
- Attend weekly briefing and strategy meetings to ensure timely activity, accountability, and recording.
- Develop prospect research and briefing documents for gift requests.
- Prepare and distribute customized gift appeal materials and collateral.
- Maintain gift pledge documentation and proper tracking, including reconciling outstanding and overdue pledges and sending pledge reminders and statements.
- Provide weekly and monthly status reports for senior Advancement team members and volunteer solicitors.
Donor Data Management
- Maintain accurate and up-to-date donor information within the organization's CRM system, including contact details, donation history, and giving preferences.
- Facilitate new donor identification and cultivation by compiling data on annual fund donors, major and special project gift prospects, donor segments, and fundraising appeal analysis.
- Coordinate with the Database Consultant to ensure timely gift-processing tasks, including scanning checks, validating donor information, and sending gift acknowledgments.
- With the Chief Advancement Officer, create and track fundraising appeal and donor engagement metrics to analyze performance.
Stakeholder Stewardship
- Contribute to the implementation of donor recognition programs by creating and maintaining recognition and mailing lists for donor appeals, newsletters, and publications.
- Ensure donor-related correspondence templates are up-to-date and accurate.
- Prepare “welcome packets” for new donors and gift acknowledgment letters for donors at varying levels.
- Collaborate with the Conservation Operations Manager to ensure all landowner-related data and correspondence templates are up-to-date and accurate.
- Assist with the scheduling of donor visits, site tours, and other stakeholder meetings
- Prepare agendas, memos, and presentation materials for Board Advancement Committee meetings and document the meeting minutes.
- Fields general inquiry calls and emails from donors.
Cultivation Event Support
- Assist with planning and executing individual and corporate donor cultivation events, including guest list management, registration, and logistics.
- Manage the calendar of major donor outings and events.
- Collaborate with the Director of Outreach and Events on opportunities to engage new supporters.
- Assist in soliciting in-kind donations for event operations and auctions.

QUALIFICATIONS
Required:
- Bachelor’s degree from an accredited institution of higher education and/or an equivalent combination of education and fundraising experience.
- Proficiency with Microsoft Excel and Google Workplace applications.
- Demonstrated passion for conservation, the environment, and the Lowcountry.
Preferred:
- Experience with Virtuous, One Cause and Raise Donors.
- Previous fundraising and/or CRM management experience.
- Ability to work independently and as part of a fast-paced team.
- Excellent collaboration, time management, organizational, communication, and interpersonal skills.
- Strong written and verbal communication and a commitment to customer service
