Overview
Headwaters Science Institute is searching for a motivated, detail-oriented person to join our growing team. We need someone who is excited about non-profit work and can do basic hiring paperwork, fundraising, customer service, database management, and program assistance. 

The ideal candidate enjoys a variety of tasks, is proactive, highly organized, able to work independently, curious, connected to our mission of fostering curiosity through science, and easily connects with donors, teachers, and colleagues. We are looking for someone who has good verbal and written communication skills. 

Essential Job Duties

  • Fundraising
    • Donor Interactions
      • First point of contact with donors, must provide them with excellent support and customer care
      • Outreach to new donors to welcome them to the community
      • Process regular donations from both online and offline sources ensuring procedures are followed, and information is recorded correctly. 
      • Donor acknowledgment and communication
      • Make regular and personalized contact with donors to retain and cultivate their giving
    • Work the team to prepare and send accurate and engaging donor communications e.g. e-newsletters, campaign materials, printed materials, social media messaging etc. 
      • Segment donor database 
      • Track a data-driven, relationship-based fundraising engagement plan for each segment
    • Research and contact prospective corporate funders and individual donors
      • Find donor prospects from programs 
    • Help plan and execute fundraising and outreach events
      • Planning, logistics, and on-the-day support for digital and in-person events
      • In-person events in California/Nevada, including Celebrate Science, Field Days, Donor Hikes
    • Grants
      • Collect program information and data for grants and funders
      • Write impact reports
    • Keep up to date with fundraising initiatives and news 
    • Organize a variety of fundraising activities
      • peer-to-peer fundraising, online events, and streaming events
      • Help develop “other ways to give” including things like workplace-giving campaigns, % giving with purchases, 1% for the planet partners
  • Office Assistance
    • Help with bookkeeping and receipt logging
    • Run our bi-monthly Payroll with a payroll company as needed
    • Process new employee paperwork
    • Upkeep of our databases
      • Properly accurate inputting of teachers, parents, donors 
      • Database culling
      • Administer data inputting, amendments, running reports, and creating data queries as necessary 
    • E-blasts/Newsletters: 
  • Ability to do things such as A/B Testing for subject and or day/time, content
  • Try segmenting our audience depending on topics for the month (try some very targeted parent emails).
  • Use the calendar and ensure that all communications are being sent on time
  • *Program Assistance (Will consider someone for part-time work who can’t teach at programs)
    • Teach/mentor science programs at school programs, after-school programs, and camp programs 
    • Organize, purchase, and maintain the necessary program equipment and materials
    • Help with permitting and accommodation bookings as needed
  • Acquire and maintain a sound understanding of the Headwaters programs
  • Other duties as assigned

The successful candidate will possess the following qualifications/experience:

  • A passion for science and education
  • Bachelor's degree & 1-2 yrs experience or Associate degree &  3-4 yrs experience
  • Strong Customer Service skills
  • Enthusiasm and drive for fundraising, connections to people, and marketing for a great cause are essential; experience is desirable 
  • Aptitude for working with databases, ideally in a customer care environment 
  • Strong attention to detail and focus on accuracy
  • Ability to work with private information and keep it private 
  • Attention to detail with hiring paperwork 
  • Comfortable using many types of technology and willingness to learn new software as needed
  • Energetic, can-do approach to work
  • Experience in Quickbooks is great, but not essential
  • Good problem-solving skills at a practical level
  • Engaging personal skills, both written and verbal to support donor management and customer care
  • Flexible and adaptable with changing task prioritization
  • Distributing mailed, and electronic fundraising appeals to acquire, re-engage, and keep donors, teachers, and program parents
  • Self-motivated and disciplined to regularly set and achieve work goals
  • Enjoy connecting with people electronically, over the phone, and in person
  • Ability and interest to teach science to students is needed if you want a full-time position
