PLWA seeks a Membership and Administrative Coordinator to support our day-to-day operations and oversee relationships with our members. Reporting to the Executive Director and working with a small team of dedicated staff, volunteers and Board, the Coordinator is responsible for nurturing PLWA’s most critical asset, our supporters and constituents. Primary tasks include managing donations and membership communications, creating outreach content for email, social media and in-person events and growing PLWA’s fundraising efforts. This is a multi faceted position with opportunities to help streamline our operations and develop PLWA’s fundraising and outreach efforts. 

Essential Functions

Membership & Donation Management (50%)

  • Responsible for managing donor profiles in CRM (Bloomerang) and overseeing membership administration including renewals and general communications (PLWA currently has around 600 active members)
  • Organize PLWA personalized thank you notes and manage mass acknowledgement emails using CRM
  • Manage online donation platform (QGiv) and its integration with CRM and PLWA’s website to ensure easy avenue for donations
  • Receive checks in the mail at PLWA office in Bozeman, MT and log them accurately using PLWA’s system and CRM
  • Respond to membership inquiries and phone calls
  • Oversee merchandise orders and distribution

Outreach, Communications & Partnerships (40%)

  • With staff and board input, produce and create content for social media. Manage PLWA’s social media to grow followers and ultimately work to turn followers into members
  • Oversee volunteers to help manage PLWA’s social media content administration
  • Design and produce constituent emails
  • Oversee large giving campaigns at the end of the year
  • Produce and create content using Canva for PLWA’s quarterly newsletter and general communications
  • Leverage PLWA’s partnerships with other MT clubs and conservation organizations to host events throughout the state and throughout the year to raise awareness of PLWA
  • Manage PLWA’s events calendar and work with staff, board and volunteers to ensure events are staffed
  • Attend PLWA outreach events to sign up new members and represent PLWA when needed

Other Responsibilities (10%)

  • Check mail at office in Bozeman weekly
  • Update PLWA’s website periodically with content from staff
  • Participate in staff meetings, board meetings, team building, and PLWA-sponsored events
  • Produce annual work plans, fill out bi-weekly timesheets, and other reports and documentation when requested
  • Participate in organization-wide planning, budgeting, and administrative tasks
  • Maintain office space by keeping it tidy and organizing mail/materials
  • Project commitment to and professional enthusiasm about PLWA’s work and mission

Required Skills and Experience

  • Bachelor’s degree in communications, marketing, non-profit administration, or 4 years of relevant work experience
  • Knowledge of the nonprofit sector and administrative skills required for managing and supporting daily operations of a small, high-impact organization
  • Demonstrated commitment to conservation and public lands advocacy
  • Experience with CRMs, social media, Google Workspace programs and Canva
  • Background in administrative assistant work, donor procurement, or marketing a plus
  • Strong aptitude for juggling multiple tasks at one time
  • Required to maintain confidentiality of members personal information and donations
  • Basic website editing knowledge (Squarespace) or willingness to learn
  • Exceptional communication skills: written, verbal, electronic
  • Willingness to work occasional evenings or weekends for PLWA events or meetings
  • Working knowledge of MS Office and/or Google Workspace programs

Compensation, Benefits, Other

  • Starting at 20 hours per week with potential for growth after 6 months
  • Hourly wage of $22/hr; negotiable depending on experience and qualifications
  • Generous paid time off and sick leave (13 days annually)
  • Monthly health care reimbursement stipend negotiable
  • Flexible hours, hybrid work structure (combination of in-person and remote acceptable) but Bozeman based
