Overview:

This Montana Association of Conservation Districts (MACD) position is part of a statewide effort to serve the interests of Montana’s 58 Conservation Districts. MACD is a nonprofit organization with programs to promote local, common-sense conservation. We are looking for someone to join our team to work on our current administrative and technical assistance activities to help us build for the future. The successful applicant will be friendly, detailed oriented, creative, willing to learn, and interested in contributing to collaborative conservation projects. This position has room for both growth and creativity, and MACD will provide training opportunities for candidates, both on-the-job and through external training options. 

In order to better serve state conservation partners and to create a full-time employment opportunity, the Operations Manager position is being offered in collaboration with the Montana Watershed Coordination Council. The Montana Watershed Coordination Council is a nonpartisan, nonprofit organization with the mission to “support and unite Montana’s watershed communities to promote healthy and productive landscapes.” Also centrally located in a downtown Helena, MT, office, MWCC works closely with MACD, and as a partnership position, the successful candidate will work ~30hrs/week with MACD and ~10hrs/week with MWCC. 

The shared position is an important part of building strong conservation partnerships across the state. This is a permanent position. Please note your preferred work schedule in your application materials.  

Core Responsibilities:

Operational Duties:

  • Assisting in the overall operations of the organization, including managing policies and coordinating with the MACD’s accountant, insurance, and other professional service providers
  • Reporting weekly and monthly activities to the Executive Director and recommending changes to enhance office processes, as appropriate
  • Answering the phone and directing calls to the appropriate person; Receiving and distributing the mail 
  • Maintaining office, furniture, equipment, files, and supplies and coordinating maintenance needs
  • Making travel reservations and other operational logistics associated with Board and staff travel
  • Other duties as assigned by the Executive Director

Human Resources:

  • Understands the organization’s personnel policies and helps with implementation of both policies, procedures, and appropriate paperwork and documentation
  • Works with the Executive Director on hiring and HR. Sets up new employees and handles paperwork for new hires

Financial Management Duties:

Please note that both MACD and MWCC have an accounting firm that manages our Quickbooks, tax payments, etc. The Office Manager will work closely with our firms.

  • Responsible for processing checks, invoicing, and other financial transactions of the organizations. This work will be done in compliance with accepted financial practices and the organizations’ financial policies. 
  • Work with the finance committee to oversee the routine generation of timely and accurate internal and external financial reports by our financial firm, including monthly and annual financial statements
  • Assist the Executive Director in developing and maintain organizational budgets
  • Provide support in managing grant deadlines, pulling staff time-reports, and preparing grant reports

Watershed Fund Duties (MWCC only)

  • Supporting MWCC staff to post Watershed Fund Grants on website and submittable
  • Collecting Watershed Fund Applications and preparing review documents for review committee 
  • Scheduling Watershed Fund grant review meetings
  • Supporting MWCC staff to generate grantee MOU’s and track submittable conversations
  • Reviewing and receiving MWCC’s Conservation Menu inquiries and emails 

Qualifications

  • Education:  Bachelor's degree in business, HR, managed, etc. preferred  Equivalent work experience may be considered in lieu of or substitute in part for the bachelor’s degree
  • Ability and willingness to work outside of standard office hours (i.e., 8am-5pm) when needed (during events)
  • Ability and willingness to travel to events and meetings; Up to 5% of the position is travel-based.  
  • A valid motor vehicle driver’s license, which must be maintained during employment. Use of personal vehicles may be required for travel at times, and will be reimbursed for mileage at the current federal rate 

Required Knowledge, Skills, and Abilities:

  • Strong organizational skills and detail oriented
  • Ability to communicate clearly and effectively with office staff, professional service providers, conservation districts and watershed groups, and partners
  • Proficiency in Microsoft Office programs, Google Suite, CRM’s or database management, and ability to learn new systems.  Familiarity with Quickbooks or accounting software preferred but not required
  • Experience with financial and grant management is preferred
  • Experience with operations or office management preferred

Compensation:

The employee benefit package includes both annual and sick leave, 10 paid holidays, a health plan, a generous retirement plan, a cell phone stipend, and a flexible work environment.

Wage/Salary: Salary (40hr/wk) 45,000-$50,000 depending on experience.
