Position Overview:

Oregon Shores is looking for a part-time operations-focused professional looking for part-time work (approximately 10-16 hours/week).  This would be a new position aimed at taking off the Executive Director’s task list a range of administrative, management, and bookkeeping operations so that the Executive Director can focus on big picture relationship-building, fundraising, and strategy. 

Oregon Shores is looking for a candidate who could begin June 1, 2025 or soon thereafter.

Key Responsibilities:

Fiscal Management (60%)

  • Pay contractors and miscellaneous invoices as requested by the Executive Director
  • Pay monthly employee travel/expense reimbursements 
  • Log paid invoices into the bookkeeping portal
  • Upload all monthly invoices and statements to the bookkeeping portal, and provide coding and communications with bookkeepers
  • Make bank deposits
  • Log check/cash donations into the donor database (Little Green Light) and bookkeeping portal.
  • Assist the Executive Director with creating/updating the annual budget.
  • Assist the Executive Director with disseminating and summarizing monthly financial statements  
  • Produce monthly report on online donations for the bookkeeper
  • Maintain workman’s compensation and general liability insurance policies for the organization

Human Resources (20%)

  • Confirm staff submit monthly timesheets and upload completed timesheets for the external bookkeeper. 
  • Coordinate logistics for any in-person staff or board meetings. 
  • Assist Executive Director, as requested, with research and/or materials to support employee benefits and policy development. 
  • Approve paid time off
  • Maintain tax and benefits information on Gusto payroll system

Fundraising and Reporting (15%)

  • Assist with preparing budgets for grant applications
  • Develop top-level skills in Oregon Shores’ Little Green Light donor database and log information and pull lists as requested by the Executive Director. 
  • Enter and update donor information in the LGL database to ensure data accuracy.
  • Input and track donations/revenue through various platforms, including Square, LGL, and Bonfire.
  • Support tracking fundraising efforts and generate regular reports for the Board of Directors.

Administrative (5%)

  • Monitor strategic plan metrics and update work plans.
  • Maintain and organize files in Google Drive, Asana, and other productivity tools.
  • Update staff templates: timesheets, expense reports, visa reports, etc.
  • Track and manage merchandise inventory for tabling events and online sales
  • Assist with creating board reports and board meeting agendas.
  • Provide support for the organization's website, including calendar updates and general maintenance.
  • Assist with setting up and supporting webinars.

Job Requirements:

  • Strong experience managing fiscal systems and/or bookkeeping for a nonprofit
  • Experience managing nonprofit grant budgets
  • Experience creating nonprofit budgets
  • Knowledge of donor management tools (e.g., Little Green Light) or willingness to learn.
  • Experience with Google, WordPress, Asana, and other workplace tools 
  • Commitment to diversity, equity, inclusion, and accessibility principles and experience applying these principles to nonprofit management
  • Capacity to work independently and manage tasks within a flexible, remote, part-time schedule
  • Ability to contribute to an inclusive, supportive workplace environment
  • Experience working with a diverse range of individuals, including communities most impacted by environmental issues

Location and Hours: 

  • Part-time, hourly position. 10-16 hours per week with a flexible schedule.
  • This job is remote and does not require travel
  • All Oregon locations will be considered, although Portland is preferred.
  • Office: Oregon Shores is a virtual organization with no fixed office. The Operations Manager is expected to provide a home office or an equivalent remote location for their work with access to communication devices (e.g., a computer, internet, phone).
