About This Position

The Regional Operations Manager is responsible for a range of operational and financial functions supporting management of wildlife sanctuaries in the Metro West Region. The Metro West Region attracts over 100,000 visitors annually to a collection of properties around the perimeter of Boston.  Opportunities for visitor engagement are extremely varied – from nationally recognized camps and preschools, to work in urban environments such as Cambridge and Lowell, through our sustainable farm in Lincoln, and at new sanctuaries we are preparing to open to the public. This position will manage a team of staff and resources and generally focus on:

  • Office management
  • Invoicing and billing
  • Providing financial reports to regional leadership
  • Visitor services
  • Shop management and inventory
  • Coordination with the Mass Audubon Information Technology Department
  • Program registration
  • Facility rentals
  • Special events support

In addition to managing day-to-day activities, the Regional Operations Manager will be a key member of the regional leadership team, helping to develop policy, budgets, and strategic plans for the region. The manager may also serve on various Mass Audubon committees to provide support and/or input on statewide initiatives.

Responsibilities

Staff Management and Supervision

  • Hire, train, and supervise part-time and full-time operations and visitor services staff across the sanctuaries of the region
  • Work with leadership to coordinate operations and visitor services staff schedules and activities across multiple sites to ensure proper staffing levels and back-up staffing, when needed 
  • Travel throughout the Metro West Region, including oversight at Drumlin Farm in Lincoln, Habitat in Belmont, and Broadmoor in Natick

Budget & Financial Management

  • Ensure integrity and security of cash handling procedures; oversee cash flow, deposits, invoice payments, check requests, personal reimbursements and fund transfers
  • Assist the Regional Director in preparing the annual operational budget. Assist Regional Director and senior leadership team to ensure budget goals are being met throughout the fiscal year.

Administrative Management

  • Facilitate communications and exchange of information between departments and locations
  • Work with staff to ensure visitor-facing communications (including sanctuary phone messages, display cases, brochures, and website information) are up to date
  • Ensure that inquiries received are directed to the appropriate staff person or department within the region
  • Create training and standard operating procedures for visitor services and administrative staff and volunteers
  • Manage timesheets for operations and visitor services staff
  • Coordinate management of permits, contracts, and staff housing agreements 
  • Maintain and assist staff with office equipment
  • Support ordering of office supplies and maintenance of appropriate inventory levels
  • Provide logistical support for Mass Audubon meetings and gatherings
  • Oversee the rental and scheduling of facilities for meetings by outside parties as well as internal needs as appropriate
  • Maintain safety records for staff and visitor accidents and incidents, ensuring reporting to Business Office in appropriate timeframe
  • Oversee purchasing, budgeting, and inventory management
  • Support special events; set event planning meetings; manage event signage, admissions, and permitting/police detail, and supplies ordering; maintain financial and attendance information on events to inform future year planning

Membership

  • Collaborate with Membership Department to enhance membership recruitment and retention strategies including supporting member recruitment specialists for spring and fall recruitment drives

Other

  • Act as the Personal Information Protection (PIP) Coordinator and participate in Safety Committee and ensuring that training and compliance requirements are met
  • Ensure that policy manual handbooks are up to date
  • Perform a variety of administrative duties including support for the Regional Director, which may include paperwork for new hires, routine correspondence, and room bookings

Must Haves

  • Associate’s degree plus four or more years related managerial and operational experience
  • Demonstrated expertise with bookkeeping and financial reporting
  • Must be highly organized, have excellent communication and customer service skills, and ability to interact with the public
  • Must have supervisory experience
  • Advanced knowledge in MS Word, Excel, Teams, Adobe, and other software, as required
  • Have or be willing to acquire First Aid and CPR certifications and be able to respond effectively to emergencies
  • Must have a valid driver’s license
  • Must be willing to work occasional weekends and evenings

Nice to Haves

  • Familiarity with or interest in nature, wildlife, environmental education, and conservation
  • Bilingual (fluent in Spanish is a plus)

Work Schedule

Full time schedule of 40 hours, usually Monday through Friday from 9:00am-5:00pm. Some weekends and holidays required.

Other Requirements

Employees must successfully complete a CORI and SORI Background Check and a Motor Vehicle Record (if applicable) is required.
