- Contacting all new arrivals up to 4 weeks before arrival with all necessary information, and answering any pre-arrival queries. The manager is responsible for registering and confirming the volunteers and interns details and updating the shared arrival list with information such as arrival and departure dates, name, nationality, age, dietary requirements, shoe and shirt sizes, program type, whether they are coming from a platform or directly, arrival and departure times (which may change), allergies or important medical conditions, email, WhatsApp, and assigned room. This list is used by the Volunteer Coordinator to contact the volunteer in advance, coordinate their arrival, address any questions, and reconfirm arrival and departure times, which may change. Other staff also use this list to prepare rooms and equipment.
- Collect and drop off volunteers and interns from the Airport or hotels following the transport schedule (generally this activity is Sundays and Mondays), take them shopping and ensure they have everything for a pleasant stay before arrive to RAREC. Delegate transportation tasks to the social media assistant when necessary.
- Induction and orientation of volunteers in the first day, giving them a General Tour. Support the Veterinarians and Biologist, leading a talk with interns about their expectations for their internship, that information helps to create the weekly schedules.
- Assist volunteers on a daily basis, knowing their background in order to propose alternative activities. Answer any queries, solve issues and support volunteers in any way necessary.
- Support Manager in the weekly planning and supervision of projects and scheduled activities for the Internships. This coordination is made directly with the Veterinary Team and Biology Team, in charge of the Veterinary interns and Conservation interns, respectively. The Volunteer Coordinator assure that the activities in the week are well planned and transportation is not a problem if it is necessary. After that, Volunteer Coordinator also can add some lectures on conservation topics and the Caretakers and Education Coordinator also add any extra activity directed to regular volunteers, then the schedule have to be sent to all the staff to make sure all of them are aligned. Finally keep track of the accomplishment of activities for the interns and volunteers, and monitor feedback from them in the middle of their stay and at the end.
- Lead on training, updating and upholding the health and safety policies, ensure that volunteers respect the rules, in addition to reinforcing this information to them when necessary.
- Update information for our programs in platforms and web, contacting them to update pictures or any other information in order to improve our chances to get more volunteers. Support Manager answering question from possible volunteers in the platforms.
- Updating guides such as pre-booking, pre-arrival, welcome to RAREC, Animal guide, and any relevant document necessary. Keep and update the RAREC volunteer google drive.
Also, you can share this task with Social Media assistant.
- Ordering and maintaining all necessary volunteer supplies in the kitchen and dining room, coordinating with the administration team. Keep informed the Administration with feedback to the administration team about volunteer meals, rooms and facilities.
- Lead and supervise the Social Media Assistant in the tasks as: Track the best activities in the weekly schedule to create content, share content in social media platforms, make thank you posts about donations, keep and update albums of pictures and videos, ensure individual donors receive their sponsorship updates, and other tasks.
- Promote volunteer social and recreational activities during their free time. Recommend day trips and activities and, when the activities are not part of RAREC program you can accompany the volunteers just if they agree to pay for your expenses, and does not interfere with other planned tasks. Also, you can delegate this task to Social Media assistant.
- Offer volunteers and interns different ways to contribute to the project before leaving, such as buying t-shirts and key rings, or other items to remember their stay.
- Urge volunteers and interns to support the project by tagging RAREC in their activity posts during their stay. Encourage the former volunteers and interns to leave comments or reviews in platforms and other webs.
- Coordinating the river dolphin watching trip and other extra activities included in the programs with new volunteers.
- Volunteer Coordinator is the main user of the vehicles at RAREC, have to ensure vehicles are available for RAREC activities and staff/volunteer transportation and coordinate with the Education Coordinator to schedule vehicle use. Ensure a schedule vehicle use efficiently and that the vehicles are used exclusively for RAREC-related activities to avoid unnecessary fuel costs.
- Ensure vehicles are properly maintained, monitor how volunteers use the vehicles to prevent property damage and notify administration of any issues, keep an updated guide for vehicle use and monitor maintenance requirements.
- Support Manager to confirm participants for full-day or short visit reservations and coordinate the attention for them, that can be done by the Volunteer Coordinator, the biologists or caretakers.
- An important task, though not very common, but essential, is that the Volunteer Coordinator also acts as a mediator to help identify issues within the team or with volunteers. You assist in facilitating conversations between the parties involved and inform when a conflict needs to be addressed by the Administration. The coordinator participates in the meeting to help reach an agreement where all parties feel heard and a solution can be determined
